For copier and printer service companies
Your clients' copiers report their own counters
PrinterTracker reads counters, toner levels and device faults across your clients' networks automatically. You see everything in one panel, and the readings go straight into PrinterController in MERP — the billing system you already use.
- No open ports at the client site
- Agent for Windows and Linux
- PrinterController integration
The problem
Month end does not have to mean chasing counters by phone
A service company looking after hundreds of devices at dozens of clients loses days of work collecting readings — and still hears about problems last.
Phone calls and emails chasing counters
The client forgets to send the photo of the counter, someone copies the wrong number, and billing waits.
Readings retyped by hand
Every counter typed in by hand is a chance to get it wrong — and a credit note later.
You are the last to hear about an empty toner
With no view of device status you drive out to emergency call-outs instead of planning deliveries.
How it works
From install to the first reading in minutes
No site visit, no changes to the client's network and nothing to retype.
- 1
Add the client and the location
In the panel you create a Client for the company and a Location for each site or network, for example “Hospital → Building A”.
- 2
Install the agent
On any machine inside the client's network, Windows or Linux. The install key ties the agent to one Location.
- 3
The agent finds the devices
It scans the network over SNMP and reports the copiers it finds. You decide which ones to monitor.
- 4
Readings arrive on their own
Counters and device status refresh every few minutes and land in the panel and in PrinterController.
Features
Everything a service company needs to know about its clients' devices
One panel instead of spreadsheets, photos of counters and phone calls.
Automatic counter readings
Mono, colour and scan counts from every device, with nothing for the client to do. Counter state for any given day.
Toners and drums under control
Supply levels as they change — you plan the delivery before anything runs out.
Fault alerts
Paper jams, service codes, low toner and agents that have gone quiet. Email notification immediately or in a digest.
New device discovery
When a new copier turns up at a client, the agent reports it. One click adds it to monitoring.
Clients, locations, networks
Clients and Locations mirror how your customers are organised — from a single office to a hospital with several buildings.
History and export
Daily print and reading history for every device, plus CSV export.
Billing integration
Readings straight into PrinterController
PrinterTracker does not duplicate billing. It collects the readings and hands them to PrinterController in MERP — the billing system where you already settle contracts and raise invoices.
- You match a client to its MERP account once
- Every new reading reaches PrinterController automatically
- The panel shows you whether a reading has been handed over

Security
Safe for your clients' networks
The client's IT team has nothing to open and nothing to configure — and you do not have to explain why you need access to their network.
Outbound traffic only
The agent connects out to PrinterTracker over HTTPS (port 443). No port forwarding and no VPN into the client's network.
No access to documents
The agent reads counters, supplies and device status, nothing else. It never sees what is being printed.
A separate key for every location
Each agent is tied to one Location by its own key, which you can revoke from the panel.
Data in the European Union
The panel and the data run on servers in a data centre inside the EU.
Devices
Works with the copiers you service
With any networked device that exposes its counters over SNMP. Among others:
- Konica Minolta
- Kyocera
- Ricoh
- Canon
- Xerox
- Sharp
- HP
- Brother
- Lexmark
- Epson
- Toshiba
- OKI
Documentation
Everything worth knowing before you connect PrinterTracker
For the client's IT team — how the agent works and what it needs. For your billing team and integrators — a public API with full device and counter data.
How the system works
The agent inside the client's network, the cloud, the service panel and the path from a reading to an invoice — step by step, with the network requirements.
ReadPublic REST API
Clients, devices, counters, supplies, faults and alerts in JSON. A token from the panel, your first request within a minute.
ReadEndpoint reference
Every resource, filter and sample response. The OpenAPI schema is generated from the code, so it is never out of date.

Frequently asked questions
Not the question you had? Send it to us using the form below.
Does the client have to open ports or set up a VPN?
No. The agent only ever connects outbound to PrinterTracker over HTTPS. All it needs is a machine with internet access that can see the devices on the local network.
Which machine should the agent run on?
Any computer or server inside the client's network that stays switched on — Windows (as a service) or Linux (systemd). One agent covers an entire location.
What happens if the machine running the agent is switched off?
The panel raises an alert that the agent is not responding. Once the machine is back up, the agent resumes readings on its own.
Does PrinterTracker raise invoices?
No. Billing and invoicing stay in PrinterController in MERP. PrinterTracker keeps it supplied with current counter readings.
Can the agent see the documents being printed?
No. It reads counters, supply levels and device status only.
What does it cost?
We are starting with an early access programme for the first service companies and agree terms individually. Book a demo and we will walk you through it.
Early access
Be one of the first to roll PrinterTracker out to your clients
We are looking for service companies that want to stop collecting counters by hand. We will show you the panel, help you install the first agents and listen to what you need.
- An online demo built around your own clients
- Help installing the first agents
- Real influence over what we build next
- Preferential terms for the first service companies
